Air Import Manager
Job Summary:
- Management of Air Import Operations in Tokyo
- Fully understand and properly monitor all operational aspects of the Tokyo Air Import department. This includes meeting internal SOP, and external customer KPI, internal KPI and process standards
- Monitor compliance at all times to regulations. This includes internal policies and procedures such as Operational Process Standards (OPS) and government regulations or customer policies/requirements
- Understand department process flow, constantly looking for areas of improved efficiency
- Collaborate with Operations Controller (OC team) to ensure all customer Operational Process Standards (OPS) are met
- Ensure the daily workflow is being monitored and maintained
- Set the standard for outstanding AI Operations service and ensure that all customer’s expectations are met according to the KPIs and/or Customer SOP
- Innovate and embrace a culture of constant improvement
- Collaborate with origin offices and other stake holders to ensure service exceeds client expectations
- Manage both sales and cost to make sure profit is earned, all costs are properly managed
- Collaboration with Customs Brokerage team
- Keep track of and alert the wider teams (Customer Service, KAM) on changes in customs & trade regulations, identify risks and mitigate impact to AI Operations and Bollore’s customers
- Work with the Customs Brokerage team, FO, Finance, Legal, and other pertinent departments to obtain information or data necessary required for Air Import / Export Customs & Clearance activities
- Ensure that Customs-related record keeping requirements are met, including conducting regular record / documentation checks as part of their KPI reporting
- Conduct regular Customs Compliance trend monitoring and reporting on import / export transactions, particularly on customs broker activities, issues encountered, escalation etc
- Make sure all necessary licenses, certifications and government approvals are met and maintained
- Meet Monthly AI Operations KPI
- Review and Improve Air Import Operational Processes
- Liaise with internal and external stakeholders to ensure smooth running of operations
- Handle escalation, complaints and feedback
- Collect feedback from Product Desk Managers
- Lead and Manage the team
- Review department goals and business plan periodically with team to ensure buy-in and accountability
- Conduct regular team meetings with the team members
- Manage staff and review overall performance of the team and department
- Allocate workloads within team to ensure daily smooth operations and especially during peak activity or staff absence
- Provide regular training to the team and especially for new hiring
- Ensure all staff and positions have job descriptions, clear expectations and are working with structured development plans set in last appraisal
- Periodically manage & review staffs’ performance & Appraisals
- Vendor Management – 3rd Parties
- Manage 3rd Parties relationship, ensuring 3rd Parties follow Bollore SOP on Air Import daily operations
- Manage and evaluate vendor cost, performance and quality
- Support other business units if necessary and contribute to the company growth
- Ensure and monitor team compliance to the Bollore’s Code of Conduct and Company’s regulations
- Ensure team understanding and implementation on Bollore’s Value in daily work behaviors
- Plan and monitor team performance including give coaching and counselling needed to deliver expected outcomes
- Plan and monitor team development together with upper managers and with HR Division
- Ensure updated Job Description availability for the team by coordinating with HR Division
- Ensure all changes in Department / Section communicated properly to the team
- Manage overtime, holidays and “work life balance” within the team
- Organize regular 1 + 1 meeting with all members within the team
- Participate in the set-up and follow-up of internal standard procedures to enhance productivity and transparency
- Maintain acceptable Health, Safety and Environmental risk levels in his/her area of responsibility
- Ensure the compliance with applicable legal requirement
- Minimum Diploma/ Degree
- At least 3 to 5 years’ experience in air import operations
- Possess excellent communication and interpersonal skills
- Pleasant personality and a good team player
- Proficient in MS Office
- Ability to work independently
